What is Workden?
Workden is a workstation for shops that sell online and in person. It keeps your customers, the orders from your connected online store, your email marketing, your tasks and your automations in one place, and it connects to the ChatGPT or Claude account you already have. It costs £10.99 a month for the whole team.
Does Workden work with Shopify?
Yes. Connect a Shopify store and its orders, customers and unfinished baskets appear in Workden, with each order on the timeline of the customer who placed it. A WooCommerce shop on a WordPress site connects in the same way.
Can I see the status of an order?
Yes, for orders from a connected online store. Each order shows what was bought, what was paid, and whether it is unfulfilled, part fulfilled, fulfilled, refunded or cancelled. Workden does not follow the parcel itself; that stays with your carrier.
Does it work for sales made in the shop?
Partly. Walk-in customers can be added by hand or imported from a spreadsheet, and their notes, tasks and emails are kept the same way as anyone else’s. Sales taken on a till do not arrive automatically yet; a Square connection is being built.
Does Workden replace ChatGPT or Claude?
No. You keep using the ChatGPT or Claude you already have. Workden connects to it, so it can answer from your own customers, orders and tasks, and anything it drafts comes back to Workden for you to approve.
Do I need to buy another AI subscription?
No. Workden connects to the ChatGPT or Claude account you already have, so you are not paying for a second AI. Whether you can add a connection depends on your provider and which of their plans you are on.
Is the ChatGPT and Claude connection available now?
Yes. You create the connection in Workden, choose what it may read and what it may suggest, and add it in ChatGPT’s or Claude’s own connector settings. It works from their desktop, web and mobile apps, and from developer tools that support the same open standard. What you need on your side is an AI plan that allows custom connectors.
Can AI change my CRM data?
No. An assistant can read what the person who connected it can read. Anything it wants to change, such as a note, a task, a contact or a deal stage, arrives in Workden as a suggestion that a person reads and approves. Higher-risk suggestions can be reserved for the owner. The approval step cannot be switched off.
Will AI be able to see all of my business data?
No. Each connection belongs to one person in your workspace and is held to their role and to what you allowed that connection to do. Only the details needed to answer a question are sent. Email subjects and campaign results can be read. Message contents, recipient lists, passwords and payment details cannot.
How does the AI know how my business works?
You tell it once, in Workden. There is a page for what you sell, how you speak to customers and the rules that matter, such as never promising delivery before Thursday. You write it in plain sentences and every assistant your team connects reads the same page. Change a rule and the next answer follows it.
Do you ask for my ChatGPT or Claude password?
Never. A consumer ChatGPT or Claude subscription is not an API account, and Workden does not ask for provider passwords, session cookies or scraped browser sessions. The connection uses the provider’s own supported mechanism, and Workden does not read your AI conversations.
Can I use it from my phone?
Yes. Ask from the ChatGPT or Claude app on your phone and the answer comes from your own records. Workden itself also works in your phone’s browser, so you can check an order or look up a customer from the shop floor.
Why not just use a bigger CRM?
If your business needs a large enterprise system, a bigger CRM may be the right choice and we would rather say so. Workden is for shops and small businesses that want customers, orders, email marketing and tasks in one place, without the cost and setup of a platform built to do everything.
Does Workden replace face-to-face sales?
No. Still meet them in person, still pick up the phone, still shake the hand. Technology should make you better prepared for those conversations rather than standing in for them. AI does the remembering; you do the relationship.
Does Workden handle email?
Yes. Connect your mailbox and you can email customers from inside Workden, with the message recorded against the account and optional open and click tracking. A standard mail connection also brings replies back onto the customer’s timeline. Gmail can send and be tracked but not sync inbound, because reading a Google mailbox needs a permission level that carries an annual audit fee we would have to pass on to you. Workden is not a phone system, and is not trying to be.
Can I run email campaigns from it?
Yes, and on the contacts you already have rather than a second imported list. Build an audience from your own CRM fields, design the email by dragging blocks around in your own branding, send it from a domain you have verified, and see opens, clicks and unsubscribes land back on each customer’s timeline. Multi-step flows are built too: somebody joins a list, waits three days, gets the follow-up, and leaves the sequence the moment they stop matching.
Does it connect to my shop or my website?
Shopify and WordPress today: new and repeat orders arrive on the buying customer’s timeline, with returning buyers matched to the contact you already have and anything ambiguous queued for a person rather than guessed. A WordPress site brings its contact-form enquiries, and its WooCommerce orders and customers where it has them. Wix is next.
Can I import my existing CRM data?
Not yet through a self-serve importer. If you are moving from another CRM, get in touch and we will help you move the data across.
What does Workden cost?
Workden Pro is £10.99 a month for your whole team. There is no charge per person and every tool is included. Ten people cost the same as one. It starts with a 14-day free trial and you can cancel at any time from your billing settings.
Is the email marketing an extra charge?
No. Campaigns, audiences, the email builder and the reporting are part of the one price, as is the AI connection. That is rather the point: paying separately for a mailing tool that keeps its own copy of your customers is the cost we are trying to remove.
Do I need a card to start the trial?
Yes. We collect card details at signup so the trial rolls into a subscription without interrupting your work, but nothing is charged for the first 14 days. Cancel before the trial ends and you pay nothing.
How do I cancel?
From billing settings inside Workden, in one click. Cancelling stops the next renewal and you keep access until the end of the period you have already paid for. We do not ask you to email anyone or sit through a retention call.
Is there a free plan?
No. There is one plan at one price, with a 14-day trial of the whole product. We think that is fairer than a free version with the useful half missing.
How is my data separated from other customers?
By three independent layers. Which workspace a request belongs to comes only from your signed-in session; every request for business data has that boundary applied automatically, so no screen can forget it; and the database itself rejects any row from another workspace even if both of the layers above had failed. Each layer assumes the others might have a bug.
Where is my data stored, and who can see it?
In a database on our own server infrastructure, not reachable from the public internet. Inside your company, access follows the owner, admin and member roles you set, enforced behind the interface for every action and recorded in a log that cannot be rewritten. Mailbox credentials and stored message contents are encrypted with a key belonging to your workspace. Payment card details are never stored by Workden. Checkout is handled entirely by Stripe.
Can my colleagues read my inbox?
No. A mailbox connection belongs to the person who made it. Nobody else on the team can reach it, and neither can any AI assistant. What the team shares is the customer history: that Priya emailed a customer on Tuesday and what it was about, never the contents of her inbox.
What happens to my data if I cancel?
Your workspace stays intact until the end of the paid period. Contact us before then and we will export your records for you.
